Duties:
Provide timely administrative support to ensure that the organization operations are maintained in an effective and efficient manner:
Manage station correspondences and account for the same in a timely manner
Take minutes/action points of events and meetings for future reference
Develop the filing index, manage files and create a data base of all documents as per the filing system
Receive requests and make e-procurement requisitions
Attend to visitors coming to the station to ensure their inquiries are handled appropriately
Manager the station meeting schedules and activities to ensure a smooth coordination of station activities
Manage the station transport and track the movement of vehicles through the fleet management system
Manage office welfare in order to maintain a conducive working environment and efficient operations:
Manage contracts of the station Service providers such as meals, water and cleaning among others to ensure a healthy working environment
Procure station supplies and ensure timely and adequate provision of office refreshments
Make monthly requisitions for other office supplies
Regularly monitor the office equipments to enhance proper utilization and follow up on maintenance where there is need for repair
Monitor the status of first aid box to ensure that the first aid drugs are well equipped to provide first aid to staff who get abrupt illness
Conduct periodic stock taking of office items and update the inventory accordingly
Manage and control Imprest system in the station to ensure timely execution of activities and accountability:
Manage the station Imprest with consideration to the budget
Prepare petty cash payment vouchers, reconciliation, re-imbursements and cash book that is submitted to the line supervisor for review and approval
Prepare the report with accountability and request for replenishments
Plan and manage the performance and development of staff under supervision so as to improve their productivity:
Plan and budget for resource requirements in the business Unit and monitor the usage to ensure efficiency
Develop and monitor a Business Unit Work plan and develop performance agreements with all the staff under supervision


Education:
The applicants for the Uganda Revenue Authority (URA) Officer Administrative Officer jobs should hold Bachelor’s degrees in either; Administration, Secretarial Studies, Public Administration, Office and Information Management or any other related field
Basic Training in Records Management is desired
Possession of Basic Training in Computer Applications is an added advantage
Basic Training in Planning
Customer Relations Management

Experience
At least three (3) years’ experience in a reputable organization.
Extensive knowledge of Information policy, Client Service Standards, Computer applications
Good time management skills
Excellent communication skills and customer care
Excellent planning skills with an ability to organize meetings
An impeccable record of integrity
Excellent report writing skills
Ability to work in teams
Age: Between 28-38 years
